Manager, Client Operations

Overview

This position will partner with and provide day to day operational support to the Senior VP Operations. You will also work very closely with the SVP for your region and the Regional Vice Presidents to exceed office and company goals, develop and grow clients and staff. 

The Manager, Client Operations is responsible for ensuring and improving the performance, productivity, efficiency and profitability of departmental and organizational operations through the provision of effective methods and strategies. Operations Manager ensures smooth operations of various processes to ensure operational effectiveness.  Working with the management team, the position also contributes to the development and implementation of organizational strategies, policies and practices.

What does a great Manager, Client Operations do?

  • Partner with and provide day to day support to SVP Ops, SVP for the region and RVPs to exceed office and company goals, develop and grow clients and staff.
  • Providing offices in the region with overall operations support.
  • Enforcing standard operating procedures (SOPs) at 100%.
  • Assist in workflow between account teams and support departments and trouble shoot any issues.
  • Work with SVP to deliver Monthly Financial Review.
  • Assist in account assignment/re-assignment and evaluate books of business.
  • Identify and report to management areas that need restructuring, retraining or more support.
  • Hiring, training and hands on support for Account Executives.
  • Act as a liaison with corporate on all operations issues.
  • Conduct monthly meetings with each office in the region to work thru creative WIP report with goal to close and bill as much as possible.
  • Work with RVPs to develop monthly training plan for personnel to include both group and individual training sessions that can be delivered on-and/or off-line.
  • Evaluate internal and external data to provide client-revenue analysis to assist in identifying areas of opportunities for growth
  • Review and monitor individual/office performance levels to identify trends and/or developmental needs.
  • Provide overall departmental operational planning, e.g. resource model to assist management in achievement of corporate objectives.
  • Participate in the development and monitoring of new operational approaches and processes to determine efficiencies and results
  • Reviews weekly reporting of revenue, costs and collections, discuss variances and assist in the implementation plans for improvement.
  • Review sales and activity reports, and other performance data to measure productivity and goal achievement and to determine areas needing cost reduction and program improvement. And ensure account teams are making appropriate on time updates to Salesforce for opportunities, AIJ, Client Profiles and Top 100 notes.
  • Ensure Signed but Unlaunched (SBU) list is updated weekly on MS Teams site for the region.
  • Manage, organize and fulfill ad hoc operational requests in support of the SVP and RVP’s
  • Manage the annual budgeting and planning process for the organization's annual budget
  • Improve processes and policies in support of organizational goals. Formulate and implement departmental and organizational policies and procedures to maximize output. Monitor adherence to rules, regulations and procedures.
  • Responsible for and analyzing the financial profit and loss and operating earning budget plan to assist management in meeting objectives.
  • Responsible for first line support and expert knowledge of Business Systems.
  • Responsible for office expenses and ensuring proper re-allocation for rent and day to day expenses.
  • Responsible for overall database cleanup and maintenance
  • Monitoring and following up on all billing and collections issues ensuring that staff processes are within the established TMP standard time frame.
  • Under RVP direction, review and approve Travel Request Forms.
  • Coordinate PTO for the office and ensure client coverage
  • Administers seating plan and office set up for new employees.
  • Coordinates schedules and logistics for office visits (other TMP personnel, offices, candidate interviews, media/vendor partners, etc.).
  • Ensure physical environment is operational (printers, faxes, stock/supplies).
  • Responsible for monitoring, ordering and maintaining adequate levels of office and kitchen supplies.
  • Liaise with other local and regional teams to share knowledge and best practices
  • BS/BA or equivalent experience required
  • 5+ years’ experience in Advertising client service, recruitment advertising/ HR experience preferred and management.
  • 2+ years digital or online advertising industry experience preferred.
  • Must have superior leadership, management, and communication skills. The ability to roll-up sleeves and lead by example at both strategic and tactical levels.
  • Passion for technology and its use in driving revenue, client satisfaction and efficiency.
  • Ability to work autonomously as well as part of the team.
  • Flexibility to accommodate change and thrive amid ambiguity.
  • Exceptional communication skills (both written and verbal) and openness to providing feedback to help iterate the business.
  • Ability to balance revenue, client satisfaction and operational responsibilities while meeting deadlines.
  • Strong knowledge of Excel, PowerPoint and other MS Office tools including MS Teams.
  • Strong quantitative and analytical skills.
